Sending E-mail
Writing E-mail
To compose and send e-mail:
- Click the Compose icon
above your Inbox.
- In the To: field in the Message Composition Window, type the e-mail address of
the person to whom you want to send e-mail.
- To send the same message to another person, type a comma and add the next
e-mail address. For example: friend1@phc.gov.ph, friend2@phc.gov.ph,
friend3@phc.gov.ph.
- You can click Address Book to choose your recipients. Open your Address Book,
click the desired name, then click the To button. This is also appropriate
for CC and BCC recipients. When Done Click OK button.
- In the Cc: field, type e-mail addresses for those to whom you want to send a copy of your messages.
- In the Subject: field, type a subject line for your e-mail.
- Type your message in the large message box.
- When your message is complete, click Send Message.
Attaching Files to Send With Your E-mail
You can attach any file -- word processing documents, spreadsheets, graphics,
photographs, even sounds -- to an e-mail message.
To attach a file to your e-mail
- Click "Attachments"
to view at the bottom
of the page a list of files attached to this message.
- Click "Browse" button and navigate to the folder that contains the file you want to
attach.
- Double-click or Click on "Open" button on the file you want to attach.
- Click on "Attach" button to upload the file selected. (Notice the file are displayed
below that are ready to be sent)
- Repeat steps 2-4 for any other files you want to attach.
Notes:
The recipient must have a software that is compatible with your file(s). For example,
if you send someone a WorPerfect file, your recipient must have either WordPerfect of a
word processing program capable of opening WordPerfect files. Also make sure the file is
compatible with your recipient's computer, for example a Windows machine may not not be
able to read some Macintosh files.
Forwarding E-mail
To send e-mail on to another person for information
- Open the piece of e-mail you want to forward.
- Click Forward.
- In the To: field in the Message Composition Window, type the e-mail address of the
person to whom you want to send e-mail.
- To send the same message to another person, type a comma and add the next
e-mail address. For example: friend1@phc.gov.ph, friend2@phc.gov.ph,
friend3@phc.gov.ph.
- You can click Address Book to choose your recipients. Open your Address Book,
click the desired name, then click the To button. This is also appropriate for
CC and BCC recipients. When Done Click OK button.
Type your comments, if desired, in the message box, thick click "Send Message"
Sending Courtesy (Carbon) Copies
You can send a copy (also called a courtesy copy or carbon copy) of your e-mail when
there are people other than the primary addressee(s) who have an interest in the subject
of the e-mail.
To send a copy of your e-mail to others
- Click "Compose" icon
above your Inbox.
- In the To: field in the Message Composition Window, type the e-mail address(es) of the
primary recipient(s).
- In the Cc: field, type the e-mail address(es) of the recipient(s) of courtesy copies. To send the same message to multiple recipients, type a comma and add the next e-mail address. For example: friend1@phc.gov.ph, friend2@phc.gov.ph, friend3@phc.gov.ph.
- In the Subject: field, type a subject line for your e-mail.
- In the message box, type your e-mail message.
- When you have finished, click "Send Message"
Sending Blind Copies
You can send blind copies of your e-mail when you do not want the primary addressee(s)
to know that you have sent the e-mail to anyone else, or when you want to keep the e-mail
address of each recipient private from the other recipients.
To send blind copies of your e-mail
- Click the "Compose" icon
above your Inbox.
- In the To: field in the Message Composition Window, type the e-mail address(es) of the
primary recipient(s). (this is optional).
- In the Bcc: field, type the e-mail address(es) of the recipient(s) of blind copies.
For example: friend1@phc.gov.ph, friend2@phc.gov.ph, friend3@phc.gov.ph
- In the message box, type you e-mail message.
- When you have finished, click "Send Message"
Notes:
- All of the recipients of your e-mail can receive blind copies: you do not have to
designate a primary recipient.
- Recipients of blind copies do not see the names of others who received blind copies.
- As the sender of the e-mail, you will always see all names on the e-mail (even those
who received blind copies) -- whether you look in your online mailbox, or in your
offline mailbox, or if one of the e-mail recipients forwards a copy of the e-mail back
to you.
Replying to E-mail
The Reply feature allows you to quickly and easily send a message back to the author
of an e-mail you received.
To reply to e-mail you receive
- Open the e-mail to which you want to reply.
- To respond to the sender only, click Reply. To respond to all recipients of an e-mail,
click Reply to All. The e-mail address(es) to whom you are replying automatically
appear in the To: field.
- Type your message.
- Click "Send Message"
Sorting Your Mail
You can sort the messages in your online Inbox by e-mail number, time of arrival e-mail
address, subject heading, and size.
To sort the contents of your Inbox
Click on the arrow icon
of column heading on which you want to sort. For example, to
sort all the mail for time of arrival, click on the arrow icon of Date tab. Each of the
tab will toggle ascending or descending order, arrow pointing upward
means descending,
otherwise ascending
.
Notes:
The state of sorting will remain even if you logout from your account.
